Among the current and archival documents, there are often documents on the reverse side of which there is an inscription "numbered, tied and sealed". When and for what purpose is this method used? With this is to understand in more detail.

Need for firmware

In the process of conducting office work, specialists sometimes have to deal with multi-page documents. If this is ordinary correspondence or paper for daily use, then it is customary to combine sheets with paper clips or a stapler. A similar version of design was introduced even on the basis of GOST R 51141-98 "Office work and archival business", as well as Order Rosarkhiva № 76 of December 23, 2009. These normative acts detail the requirements for processed documents, as well as the methodology and recommendations for their firmware. An obligatory element in this case is a credit card, on which it is written "numbered, tied and sealed".

In order to separate individual pages into a single multi-sheet document, you will need:

  • Dense thread;
  • A needle with a wide eye;
  • awl;
  • scissors;
  • Adhesive clerical ;
  • A sheet of white paper.

The simplest version of the stitching is made on three holes. All work takes place in several stages:

  1. First, on the left side of the stack of documents, it is necessary to make holes with an aperture of 3 at the same distance from each other.
  2. Thread into the needle and pass it, starting from the back, in the middle puncture site. At the same time, at least 7 centimeters of filament should remain in the stock.
  3. On the front side, thread the needle into the hole on the left. There should be one stitch.
  4. On the back side, pass the needle and thread into the remaining free hole on the right.
  5. Thread the thread in the middle (in the place where the firmware was started).
  6. The two rest of the thread on the back side of the knot so that the stitch is inside.
  7. From a sheet of paper with scissors cut off a rectangular piece measuring 2 x 8 centimeters, and then paste it on the knot and the ends of the thread.
  8. On the glued sheet make the inscription "numbered, tied and sealed", indicating the number of connected sheets (in figures and words). A little lower is the signature and its decoding.

The document so stitched can be safely sent to the destination.

According to the rules of conducting office work in the firmware, many accounting books are also needed, in which the responsible employees register the incoming documents. This is necessary for the protection, the information contained in them and the convenience of searching. Of course, it's easier to flip through several pages at the right time than to review a stack of documents that, for example, should not be available to third parties. For such purposes , a registration log is being established at many enterprises . This is a book with end- to -end numbering, in which a permanent record of documents of a certain type (labor books, issued powers of attorney, orders, introductory briefing on OT and others) is maintained.

The registration log must have a hard enough cover to protect against natural wear and tear. In addition, all the sheets that are inside it must necessarily be numbered and stitched with a strong thread. The ends of the lacing should remain on the inside of the cover and are sealed with a blank sheet of paper, on which a standard lettering is usually made.

Assurance Sheet

After the firmware, the documents must be certified with the signature of the head of the company and the seal of the company. This is a necessary measure that is used so that some unscrupulous employees can not commit forgery and replace some of the registration records. As a guarantee sheet, as a rule, a piece of blank paper of rectangular shape is used. It needs to be glued so that the elements of the firmware (the connector and the rest of the threads) are blocked as much as possible. Above, the responsible worker must make an inscription of a certain pattern. In some enterprises, a special form is used for this: "tied, numbered and sealed".

You can type the text on the computer, and then print the finished samples in the right amount. Under the main inscription, as a rule, the post of the responsible employee (manager) is indicated, as well as his signature with a detailed transcript. This verification sheet ends with the firmware date of this document.

Scope of documents to be certified

Before embarking on the firmware, it is necessary to number all the sheets included in this document. There are certain rules for this:

  1. Numbers are not numbered, but sheets.
  2. The numbers are usually placed in the upper right corner in ascending order.
  3. Records are made in Arabic numerals (in rare cases it is allowed to use Roman numerals).
  4. A sheet containing individual fragments is numbered in the general order. In addition, his inventory is compiled separately.
  5. In the presence of gluing, the whole sheet is assigned one regular number.
  6. If the document contains internal applications, then they should also be numbered separately.
  7. Sometimes when archiving in the case there are letters. In this case, first the envelope is numbered, and then - what is in it.

The total number of sheets is indicated in the text of the verbatim inscription twice. The first thing is a digital value, and then in parentheses - in words.

Since 2013, in Russia, new requirements for the clearance of securities transferred to other organizations have entered into force. But, despite the fact that there is nothing to say about mandatory firmware, many enterprises continue to use this way of preparing documents in the old manner.
