Modern economic conditions for commercial enterprises necessitate the creation and development of a flexible logistics system. This task requires a large number of investments and the corresponding documentation of the RF legislation. Large enterprises have on the balance cars and freight vehicles, which perform various functions. Regardless of the direction of use, cars are supplied with accompanying documents, the main one of which is a route sheet. The order of filling, the validity period, the form of travel forms depend on many factors. For work that has a traveling nature, enterprises develop a routing list of official trips, which has several practical meanings. Cars that provide interoperability between offices or branches of a company can also use a routing sheet for more effective work. This type of documentation is multifunctional and performs several functions.

Cargo transportation

Most organizations prefer to use the services of specialized transport companies that ensure the delivery of cargo to the destination and provide the customer documents confirming its costs. In this case, the consignment note is a replacement for travel documents, the route sheet of the driver or forwarder may contain a scheme for faster passage and complement the main package of documents. All information about the cargo, the organization of the seller, the buyer, the transport company is contained in the TTN, also this document is a confirmation of the delivery of goods, the basis for the payment of the services of the carrier and the calculation of wages to the driver and freight forwarder. In the case of delivery of several consignments of goods, the design of the TTN for each flight is practiced, the route sheet is made up one and contains a mandatory confirmation of the time of arrival, loading and unloading operations. Transport companies that provide delivery services, develop a routing for each car for a specific order, this allows you to track the movement of the car and the time spent on the road.

Application in small enterprises

The car routing table used by the IP can also complement the TTN when it comes to cargo transportation of goods. Its content is standard. As a means of transport, a car or a lorry designed for the owner of the enterprise can be used. Often, a vehicle is rented to reduce costs, in which case the driver must have a copy of the rental agreement and a trip sheet of the trip.

  • The owner of the vehicle.
  • Personal data of the driver (passport, driver's license).
  • The name of the consignor (full name, TIN, registration codes, address of the actual location of the loading warehouse).

For individual entrepreneurs and small enterprises, the legislation does not provide for a single form of a routing sheet. The organization approves the form and the procedure for filling it in the accounting policy. Also, the internal documents regulate the procedure for issuing it, the period of return, persons having the right to sign. In accordance with the requirements of the PBU, the routing sheet should contain all the details of the primary document and reflect the purposes of travel, time and ways of moving. As a model, a road form approved by the State Committee on Statistics of the Russian Federation on form No. 3 may be adopted on November 27, 1997. The document is finalized taking into account the specifics of transportation and the direction of the company's activities.

Advance report

Some groups of employees of the enterprise are forced to spend a lot of time on the road. This is due to the specifics of the work or the interests of the business. Courier delivery service, sales representatives and sales managers, financial director, chief accountant, a group of workers in the maintenance and repair area, etc. - Each of these positions implies the presence of official business trips or a permanent move around the city. In this case, a permanent route, as a rule, does not exist, which entails the occurrence of costs for the employee to travel on different types of transport. Enterprises under the terms of employment contracts are obliged to reimburse employees for these expenses in the presence of supporting documents, which, in turn, must be posted through the enterprise's accounting department and included in the costs. In most cases, an advance report is used for correct reflection in the tax accounting, but in connection with the inconsistency of this document to account for transportation costs, a routing sheet is additionally attached to it. Uniform form does not exist, therefore the enterprise independently develops a form convenient for the report. At the same time, it is necessary to take into account not only the number of provided travel documents and their price, but also the correspondence of trips to the tasks of a particular employee.

The reverse side of the report is filled in by the accountant, who accepted it and conducted it in the appropriate registers after the audit. Also, the amount of the report is subject to approval. A mandatory condition for completion is the indication of dates and compliance with their travel documents. All confirmatory forms should be clearly legible and correspond to the information reflected in the developed register. The routing sheet is submitted with an advance report within three days from the date of issue of the funds. Many couriers and sales representatives of companies use this type of document to optimize working hours. The schedule sheet is drawn up for each day, it contains the sequence of visits to the places planned by the employee. When developing it, the traffic patterns, travel time, the route chosen will be taken into account, which will allow to correspond to the planned time of business meetings, etc.

Business trips

For many enterprises, the use of a routing sheet is relevant for the traveling nature of the work of employees. According to the Labor Code of the Russian Federation, a business trip is a trip on behalf of the employer to perform the assigned production tasks. Reimbursement of arising travel expenses is regulated by art. 168.1 of the LC RF. For the recognition of expenses, it is necessary to correctly draw up a routing sheet, attach travel documents to it. For tax accounting and the recognition of travel expenses, the following documents are required for expenses:

  • Order confirming the business purpose of the trip.
  • The employee's report on the expenses incurred.
  • Moving list sheet.
  • Filled travel documents confirming the provision of services.

The amount of expenses is checked by the accounting department, after which the report approved by the head, is given for refunding or repaying the amount received for the report. The form of the routing sheet is developed by the enterprise independently and is reflected in the corresponding constituent documents.
