The act of receiving and transmitting documents is an important document or formality?

The act of receiving and transmitting documents is a type of official paper in which the transfer of the transfer from one source to another business document takes place. This document is an integral part of any contract concluded between counterparties. The act is drawn up at the request of a company that needs such a paper.

Like any other document, this official paper has legal force. So, if after the parties sign the acceptance-transfer certificate, there will be any disputes between the counterparties about the previously signed agreements, the court will take into account the presence of a correctly formed document of this format.

It is important to note that the laws of our country do not provide for the officially established form of this paper. Therefore, any enterprise has the full right to develop a standard act of acceptance-transfer independently, adhering to the recommendations of GOST 6.30 - 2003, which presents the positions that must necessarily be reflected in the document. The act, independently developed by the enterprise, necessarily contains the following requisites:

  • Name (title) of the document;
  • Current date and place of compilation;
  • Full name of the enterprise, which was an act of acceptance and transfer of documents;
  • Name and title of the position of the person directly engaged in the preparation of this paper;
  • Full name of the enterprise to which this act of acceptance-transfer is addressed;
  • Name and title of the position of the person to whom this document is addressed;
  • A list of documents that are transferred from one person to another person;
  • Registration numbers assigned to applications;
  • The signatures of the responsible persons who handed over and received the paper;
  • Printprint of the enterprise that compiled the certificate of acceptance and transfer of documents.

You must specify the number of copies of a document that are sent. The greatest attention should be paid to the papers transferred in the original. This is also reflected in the act in case the documents are lost, and it will be necessary for the higher authorities to conduct the proceedings. Therefore, it is desirable to make copies of all transferred securities in order to avoid a loss.

Since this act is a two-sided document, it must be made in two copies. The first will remain with the enterprise that the document has drawn up, and the second will be transferred to the enterprise for which the transfer and acceptance act is intended.

Act of acceptance and transfer of cases

When conducting an audit, the employee who takes the case does not have the opportunity to check the status of accounting in full. A retired chief accountant very often leaves behind a lot of unfinished work and mistakes made. The new chief accountant does not want to take on someone else's responsibility.

The most obvious solution is the invitation of the auditors. As of the date of the dismissal of the former chief accountant, they will conduct a review and submit a full report on the financial condition of the company and the violations they have identified. But the invitation of auditors is expensive, not every leader will agree to pay for their services, especially since the chief accountant can change not once. So most of the time the test is done on its own.

For this purpose, an act of acceptance-transfer is drawn up (the template is chosen by the enterprise itself). The act must be signed by the head, the chief accountant, who handles the cases, to those who take the case (the next chief accountant or the person performing his duties) and the commission members. Two copies of such an act are compiled. One is left in the company's accounting department, the other is given to the one who handles the cases.

In essence, the act of accepting and transferring cases upon dismissal is a list of accepted documents and found during the verification of violations. The state of affairs he reflects at the time of transfer. Usually the act has two parts - the general and the basic. Most often, such an act of acceptance and transfer of cases is when the accountant and director are dismissed.
